Uploading Inventory

Introduction

The inventory upload workflow is the backbone of your dealership's operation. A smooth process means your cars are online and generating leads within minutes.

Core Terminology

TermMeaning
VINThe 17-digit chassis number you enter first — the system auto-fills make, model, and year from it.
DraftA saved listing not yet published — handy when you are waiting for photos.
Manual OverrideEntering car details by hand when the VIN is not found in the global database.

Step 1: VIN Entry

Every listing starts with the VIN.

  • Action: Enter the 17-digit Chassis Number.
  • System: It checks the global database to auto-fill (Make, Model, Year).
  • Manual Override: If the system does not find it (rare), you can enter details manually.
  • Validation: All listings go through the same verification process (matching VIN to photos), regardless of how they were entered.

Step 2: Car Details & Mileage

Before you can upload photos, you MUST complete the basic details.

  • Trim: Select the correct version (e.g., GXR vs. VXR).
  • Mileage: Enter the exact odometer reading.
    • Constraint: You cannot proceed to the photo-upload step until mileage is filled.

Why? The system needs the mileage to categorise the car correctly (New vs. Used) before accepting media.

Step 3: Photos & Video

Once details are saved, the media uploader unlocks.

Photos

  • Limit: Up to 40 images.
  • Order: The first 5 photos are critical for the preview card.

Video

  • Format: You can attach a video file.
  • Display: It appears as an interactive element on the listing.

Drafts

You do not have to publish immediately.

  • Scenario: You have the VIN but are waiting for the photographer to send the files.
  • Action: Fill the details (Mileage, Colour, Price) and click "Save Draft."
  • Resume: Later, go to "My Ads → Drafts" to upload photos and publish.

Feature Clarifications

  • No CSV / Bulk Upload: We do not currently support XML / CSV feeds. All listings must be added via the dealer portal.
